We delivered a document management system for a major Canadian insurance company

 

Client

 

A major Canadian insurance company located in Vancouver, British Columbia, and providing insurance services to all provinces and territories of Canada, forty-four states of the U.S.A., and the District of Columbia.

 

Challenge

 

The insurance company contracted us to analyze the goals for the software system to be developed. The intent of these efforts was identifying the ways to exchange information between the local and head offices of the company and creating a scheme that would apply to the specific industry of insurance and would make the circulation of documents and communication faster. One of the system's purposes was also to help insurance managers work together and edit quote applications.

 

Solution

 

Our staff was involved in all phases of the process, including the design, development, and implementation of the project. We performed a thorough analysis of the requirements and configured the insurance system accordingly. The developed software comprises Web and standalone desktop applications. The system that we delivered allows the insurance agents to submit or modify and re-submit the Application forms, Statement of Values forms, and Payee forms. Also, the system allows insurance agents to post a Quote back to the agents. The Web application represents an interface for insurance agents to collect data and generate MS Word and Excel documents to be printed out. To facilitate the communication between managers, the analysts identified a need for a chat feature that would make it possible to review the stored messages with all submitted information. The Roll-Back feature that we developed allows the users to trace all the modifications done to applications, insurers' applications, and the information on the addressees of compensation insurance. This feature also makes it possible to work with the previous versions of the applications (editing, printing, generating endorsements).

Results

 

The document management system that we delivered meets all of the requirements of the client, and it works as follows

  1. Agents submit a Payee List, Statement of Values Document, and an Application form through the Web site;

  2. The manager in the head office reviews the submitted documentation using the desktop application;

  3. The manager in the head office either produces a Quote or asks the agents to submit more information;

  4. The communication flow goes back and forth between the manager in the head office and the agents until the manager has all required information;

  5. The manager accepts or rejects the Policy Application.
